Help Page for Abstract Service Registration
To save time, you may try to fill out the
abstract
service registration form without reading these instructions
completely. Note that several boxes on the form may be left empty.
After you complete the initial registration, you will still be able to
make changes to your information. Do not use this form for conference
announcements; use the
conference
calendar submission form instead.
- Title of the event or conference
- This title is displayed on the heading for each page related to
your conference.
- Dates
- The dates, inclusive, of the event. For single day events, use the
same date for the start and end dates. For events scheduled over several
intervals, consider using the first and last days of the event.
- Deadline for submissions
- The Atlas public submission form will accept submissions until
midnight local time in Toronto, Canada at the end of deadline for
submissions. If you do not specify a deadline, submissions will be
accepted until the last day of the conference.
- Host (or venue or affiliation or sponsor)
- This name is displayed on the heading for each page related to your
conference. It is intended for locations, organizations and institutions.
Use this to list the conference affiliation, site, organization or
sponsors. You may leave it empty.
- City (and State, Province or Territory, as necessary)
- This is intended to describe the geographic location of the
conference. You may include an address here.
- Contact person: the name of the person who will monitor abstract
submissions
- Please let us know who you are.
- Contact email: the email address of the contact person
- Automatic notices of abstract submission will be sent to this email
address. Please use one email address only.
- Organizers
- These names will be displayed on the heading for each page related to
your conference. You can leave this box empty if there are too many
names to list.
- Approval mode
- You will be able to accept, reject or edit submissions, regardless of
which option you choose on the registration form. There are two approval
modes.
- Abstracts are held for your approval before they are displayed to the
public. If your conference has a formal review process, choose this
option.
- Abstracts are displayed to the public immediately as they are
submitted. If your conference is somewhat informal, and you do not expect
any controversial submissions, then please consider choosing this option.
- Submission message
- This text is displayed on the abstract submission form. Use it to
specify any instructions or restrictions (special deadlines, abstract
length limit, ...)
- List message
- Use this to place your own text at the top of the public listing pages
for your conference.
- Sessions
- You will be able to group abstracts by session (or any other
classification). Please contact us for details after your registration
has been approved.
- Abstract template
- Use this feature to provide a template for abstracts. If you are
creating your own printed booklet of abstracts and you want to force your
participants to use a template that you have already designed, then please
use this feature. Atlas will parse and append all accepted abstracts into
one big LaTeX file, which will be available to organizers for copyediting
and printing as a programme booklet. So, if you want to use the Atlas
booklet feature to eliminate the work of combining individual abstracts
yourself, then please do not bother to use the abstract template feature.
Hints, Warnings and Known Bugs
- Deadline
- There are no late submissions of abstracts at Atlas; if you want to
allow submissions beyond a deadline announced to your conference
participants then you must set the Atlas submission deadline to a later
date. You may even specify a deadline after the end of the conference to
allow very late submissions. We suggest that you use the submission
message feature mentioned above to display specific deadline
instructions. There is a separate private abstract submission form, which
never closes, where organizers can submit abstracts on behalf of speakers.
- Headings
- The information collected in this form is used to create a
standardized heading to display on every page on our site related to your
conference. These are: conference title, dates, host, city, country,
organizers. You may find that you have to provide shorter versions of
these fields so that the heading appears presentable. In particular, a
very long conference title, or a very long list of organizers will upset
the balance of the displayed heading. However, it is possible to override
this standardized heading and design your own page heading after you
complete the registration.
- Messages
- You may find that you need to change the submission message and
list message to give new instructions or information.
- Announcement on conference calendar
- The information collected on this registration form is not
automaticically related to the information displayed on our calendar of
conference announcements. If you want to edit your conference calendar
announcements, please contact us or follow the separate instructions for
that editing process.
